3 key capabilities of a joined up recruitment back office

Joining up the back office is all about capability

At ETZ much of what we do is integration – ‘joining up the back office’. However, this is a pretty broad catch-all term, so it is worth examining what we really mean by this.
The logic behind joining up the back office is all about capability. At the top level, we’re linking key processes.
So, in a typical recruitment business, you might have a requirement for timesheets and there will be a business process for taking timesheet information and turning it into an invoice for the client and a payroll component for the worker. This is purely a business process view.
If we actually look more closely at how this has to work, it involves different pieces of software and it needs to be designed and implemented so that it includes three key capabilities which go to make up the ‘value equation’ – a combination that truly delivers ROI from investment in technology.

1. Integration

Integration can be thought of as the physical and electronic connectivity between different pieces of software and hardware. When we turn a timesheet into an invoice and calculate the worker’s payroll component the timesheet information needs to be taken from the onscreen digital timesheet form and into an accounting package. From there, the invoice to the client can be generated and the work flow might email it as a PDF.

2. Automation

Automation simply means that the process needs to move seamlessly across the different systems without human intervention. Automating processes at the systems level eliminates low value, labour intensive tasks from the human workflow enabling humans to get more job satisfaction from performing tasks that are of higher value. From timesheet to invoice payment and payroll bank transfer, automation should make it seamless.

3. Flexibility

The final part of the capability value equation is flexibility. Rigid integrations that cannot accommodate variances in process and practice simply won’t do. As an example digital timesheets may not always be a practical option. So, the timesheet to invoice and payroll process needs to be able to accommodate printed paper or faxed timesheets which are digitised to become machine readable.
Similarly, for invoicing the workflow may need to be flexible enough to accommodate the requirement for other methods of electronic delivery or printing and posting by snail mail.
